Overview

The Storvexa Product Management module is the catalogue that powers your document creation. Every product you add is available for selection on invoices, quotations, receipts, packing slips, and all other document types — with price, tax, unit, and description auto-filling on every line item.

Products in Storvexa cover both physical goods and services. A product record stores the name, description, unit price, tax code, unit of measure, category, and stock configuration. Once set up correctly, document creation becomes fast and consistent — no manual price or tax entry needed.

Price changes to products do not affect existing finalised documents. Historical invoices always reflect the price at the time they were created.

Price changes to a product take effect on all new documents after the change — but never on already-finalised documents. This preserves the integrity of your historical financial records.

How It Works

Adding products to Storvexa takes just minutes. Once set up, products power every document you create.

  1. Create a product

Enter the product name, description, and unit price. Assign a category, unit of measure, and tax code to enable automatic calculations.

  2. Set the tax code

Select the appropriate tax code for this product. Tax applies automatically on every document line item without manual entry.

  3. Assign a unit of measure

Select the unit (kg, pcs, hrs, etc.) that appears on document line items for this product. Create custom units if needed.

  4. Configure stock thresholds

Set the initial quantity on hand, minimum stock level, and reorder point. Stock tracking begins from these values.

  5. Assign a category

Organise the product into a category for faster filtering when creating documents and generating reports.

  6. Use on documents

Search for the product when adding line items to any document type. Price, tax, unit, and description auto-fill from the product record.

Key Features

Product Catalogue
Maintain a complete catalogue of physical products and services. Search, filter by category, and manage all items from one list.
Tax Code Assignment
Assign a tax code directly to each product. The correct rate applies automatically on every document without manual entry.
Unit of Measure
Assign a unit of measure (kg, pcs, hrs, etc.) to each product. Appears automatically in the Unit column on all document types.
Category Organisation
Group products into categories for faster search during document creation and clearer inventory and sales reports.
Stock Integration
Each product has configurable stock thresholds — quantity on hand, min stock, reorder point — that drive the stock status system.
Price History Preservation
Finalised documents always show the price at time of creation. Updating a product's price does not alter any existing document.
Quick Create from Product
Create a document directly from the product page — the product is pre-added as the first line item.
Product Images
Upload a product image that can appear in document PDFs and in the product picker during document creation.
Unit-Specific Fields
Select a unit and its custom fields (weight, expiry date, colour, size) appear instantly on the product form — no manual setup per product. Learn more →

Use Cases

Retail Product Catalogue

A retailer maintains 200 products across 8 categories. Each product has a tax code and unit price. Invoice creation takes seconds — search, add, done.

Service Business Offerings

A consulting firm adds its service lines as products — "Strategy Consulting — hourly", "Report Writing — fixed". Quotations and invoices use these as standard line items.

B2B Wholesale Catalogue

A distributor maintains a wholesale catalogue with volume pricing. Each product has a stock threshold configured so reorder alerts appear automatically.

Manufacturing BOM

A manufacturer tracks components and finished goods as separate product records. Purchase orders bring in components; packing slips dispatch finished goods.

Pro tip: From the product list or product detail page, click "Create Document" to open the document builder with that product pre-added as the first line item.
